Position Summary:

A group of Companies is seeking for a very proactive and well-organized Admin & Logistics Officers (Construction) who will manage office administration, logistics, workforce coordination, and compliance with company policies. The Admin & Logistics Officer will have an active role in facilitating day-to-day administrative and logistical activities on various construction sites to ensure smooth operations and optimal resource use.

The candidate of choice must be experienced in construction industry administration, logistics coordination and vendor management with comprehensive knowledge of local regulatory compliance and documentation management.

Key Responsibilities:

Office & Site Administration:

• Facilitate smooth office and site daily operations, logistics, utilities, and general maintenance.
• Oversee procurement and delivery of office materials, safety equipment, and site equipment.
• Document employee attendance, overtime, and site staff deployment.
• Assist the Operations and HR units in recruitment, induction, and documentation of workers for construction work.

Logistics & Transport Management:

• Control logistics activities with timely delivery of materials, tools, and equipment to the sites.
• Coordinate schedules for material deliveries with suppliers, transporters, and procurement personnel.
• Control fleet management with suitable vehicle allocation, fuel monitoring, and maintenance planning.
• Optimize transport routes with planning to save time and minimize costs.
• Ensure prompt mobilization and demobilization of resources among varied sites.

Documentation & Compliance:

• Keep vendor contracts, agreements, and administrative documents on file.
• Ensure documentation compliance with FBR, labor law, and construction industry rules.
• Maintain proper records of permits, licenses, and approvals for construction sites.
• Help prepare logistics reports, procurement records, and compliance documentation.

Vendor & Supply Chain Coordination:

• Collaborate closely with procurement officers to monitor outstanding material delivery and supplier performance.
• Coordinate with warehouses and site staff to store and manage inventory appropriately.
• Develop relationships with local service providers and suppliers to guarantee smooth operations.

Security, Health & Safety Compliance:

• Guarantee the adherence of safety procedures for handling and transportation of material.
• Collaborate with the HSE (Health, Safety & Environment) team to instill site security measures.
• Maintain warehouse and site security to avoid damage and theft.

Reporting & Coordination:

• Prepare administrative and logistics reports weekly and monthly for senior management.
• Coordinate cross-departmental with Finance, HR, and Procurement departments.
• Support event planning, staff meetings, and internal communications.

Technical Skills:

• Good understanding of logistics, procurement, and labor compliance.
• Familiarity with fleet management, supply chain coordination, and warehouse operations.
• Proficiency in MS Office (Excel, Word, PowerPoint).

Soft Skills:

• Good organizational, analytical, and problem-solving skills.
• Capacity to work under pressure and handle multiple tasks effectively.
